This Privacy Policy describes how Omni Tutor collects, uses, and protects information.
What we collect
- Account info: name, email, phone, role (parent / tutor / admin).
- Student info: name, grade level, learning goals, diagnostic results — collected by a parent or guardian.
- Session data: video room metadata, session notes, progress reports, AI tutor transcripts.
- Payment info: processed by Stripe; we never store full card numbers.
- Usage data: standard server logs, page views, and the timestamps of actions taken in the platform.
How we use it
To deliver tutoring services, match families with tutors, generate progress reports, process payments, and improve the platform. We do not sell your data.
Who we share with
- The tutor matched to your child, who sees their own student's records only.
- Service providers (Daily.co for video, Stripe for payments, Resend for email, ElevenLabs and HeyGen for AI tutor media, Anthropic for AI chat) under contract for those specific purposes.
- Law enforcement when legally required.
Data retention
Account data is retained while your account is active. Session notes and progress reports are retained for as long as you are using the platform plus 2 years after, then archived. You may request earlier deletion by emailing us.
Security
Data is encrypted in transit (TLS) and at rest. Passwords are stored using bcrypt hashing. Tutors and admins have role-based access and only see what they need.
Your rights
You may request a copy of your data, correct inaccuracies, or delete your account at any time by emailing hello@omniforge.click. California, EU, and Virginia residents have additional rights under CCPA / GDPR / VCDPA.
